How to Add, Set, and Change Admins in WeCom

I. Add Admins

1. If you are a super admin or the creator, log in to the Admin Console and click “My Company” -> “Permissions” -> “Add”,

or WeCom for Mobile app: [Workspace -> Manage Company -> Set Admin -> Add]
Note: In the WeCom for Mobile app, you can only set super administrators. Since tiered administrators cannot set super administrators, the “Set Admin” option will not be visible in the WeCom for Mobile app.

2. Select an admin from the company’s Contacts, set their role as either a Super Admin or a Sub-admin, as well as their management scope and permissions, and click “OK”.
3. There is no limit on the number of admins in a company. A WeCom account can be the admin (including super admin and sub-admin) of up to 50 companies.

II. Admin Permissions

Super Admin: The management scope is the entire company, with all admin permissions including configuration of the Contacts and apps, which cannot be adjusted.

Sub-admin: Depending on management needs, the management scope, as well as the permissions for Contacts, apps, and device management can be set for sub-admins.

  • The settings for admin permissions must not exceed the management scope.”Specific departments” and “Admin’s department and lower-level department” can be set.
  • Contacts permissions are the management permissions on Contacts and are a subset of “management scope”.The admin can view or manage the contact information of members within their Contacts permission scope.
  • Application management permissions include the permissions to “create apps and Mini Programs” and the management permissions on basic, custom, and third-party apps. Apps include Company-paid Call, Notice, Attendance, Approval, Report, Cast, Access Control, Receive Money from External, Health Report, and WeDrive.
  • Device management permissions are the management permissions on hardware devices.
  • Security management permissions After setting up, hierarchical administrators will be able to manage the features of the security management module in the Admin Console (including basic and advanced features); however, they are not currently eligible to purchase advanced security features.
    Note: The hierarchical administrators can’t configured security management permissions until their management scope covers all company members.

III. Admin Group

  • Admin groups refer to the company practice of organizing admins into groups. Admins with the same Contacts and app permissions can be grouped together. When setting up a sub-admin, select the corresponding admin group.
    Once the admin group is selected, the admin will have the permissions of the admin group they belong to, eliminating the need to repeatedly set the same management permissions for each admin.
  • A super admin can only belong to the super admin group. The super admin group is a default system-created group that has the highest level of permissions in a company.
  • Admin groups support the creation of multiple levels, with up to 5 levels possible, and the permissions of a child admin group can be equal to or less than those of its parent admin group.

IV. Delete Admins

1. Delete Admins
To delete admins as a super admin, log in to the Admin Console and click “My Company” -> “Permissions” -> “Delete”,

or tap “Workspace” -> “Manage Company” -> “Set Admin” -> “Edit” -> “Delete” in the WeCom app.

2. Deletion Description
A creator can remove all company admins. A super admin can remove other super admins and sub-admins. A sub-admin cannot remove admins in the same admin group and super admins, but can remove sub-admins in a lower-level admin group.

V. FAQs

1. After an admin is set, a message appears “Member XXX needs to complete identity verification to become an admin.”
The prompt for identity verification includes both real-name binding and verification. If the member has not completed identity verification, they need to bind their real name. If they have already bound their real name, they need to perform identity verification to ensure the security of the company’s information. It is recommended that the added member pay attention to the message notification sent by WeCom Team and proceed to the verification process as instructed.

2. Can the admin role be transferred?
No. Only the creator role can be transferred. To change the admin, you can have another super admin delete the current admin and then add a new one.

3. Setting admin prompts “The member is already an admin.”
(1) Please check if the member being set is already a super admin/sub-admin.
(2) If you have set up an admin group, please check if the member being set has already been added to the subgroup within the admin group.

4. The number of super admins in the “Super Admin Group” list and the “Admins” list are inconsistent.
Please check if the missing ones are external admins. External admins are displayed in “Admin Group” -> “Super Admin Group”, not in the “Admins” list.
