I.About The Feature

To ensure company information security and email data security, Tencent Exmail provides company administrators with the “Inbound Filter Rules” feature. The system filters inbound emails to all members and applies the specified filtering actions to emails that match predefined conditions.

II.Setup Notes and Limitations

1.Rule ID: Each rule has a globally unique ID.
2.All enabled rules are executed sequentially from top to bottom in the list.
3.A maximum of 300 inbound filter rules can be created.
4.The length of a single filter condition is limited to approximately 15,000 bytes. Exceeding this limit will prompt “Condition length exceeded, please shorten and try again.”

(4) Set exceptions: Exceptions can be added to the rule. Emails meeting the exception conditions will not be constrained by this rule.

4.Set execution action

Emails that meet the filtering rule content will be processed according to the set filtering action: Reject and Bounce, Reject without Bounce, or Mark as Spam. Finally, click the “Save Rule” button to save.
For emails that match the filtering rules, specify the handling method: Reject and Bounce, Reject without Bouncing, or Mark as Spam. After setting, click “Save Rule”.

5.Rule management: Disable and delete

In the rule list, you can disable or delete created rules. Once a rule is disabled/deleted, the system will no longer execute that filtering rule.

6.View filter logs and retrieve emails

(1) View Records: You can query email records that have been filtered by rules within the last 180 days via the Admin Console under [Collaboration -> Email -> Security management -> Inbound Filter Rules -> Filter Rule Details].
(2) Email Retrieval:
For emails that have been “rejected”, the member’s email [Inbound Log] will display them as “Blocked by Company”. If an email needs to be retrieved, contact the administrator to click “Retrieve” in the [Filter Rule Details]. After retrieval, the email will be re-delivered to the member’s inbox and removed from the filter logs. Important: Only emails filtered within the last 10 days can be retrieved. Emails filtered beyond this time period cannot be retrieved.

IV.FAQs

1.Can wildcards (e.g., “*.icu”) be used when setting up filter conditions?

Currently not supported. Currently, only substring matching is supported. For example, to filter emails containing URLs in the “xxxxx.icu” format, it is recommended to set the condition as containing the substring “icu”.
