1. Prerequisites:
Your company must have purchased advanced email features for at least 5 users to use the “Recall Member’s Email” feature.

2.Path: In WeCom Admin Console, go to [Collaboration -> Email -> Security management -> Recall member’s email]

3.Steps:
(1) On the “Recall member’s email” page, search for the target email using the sender’s name, subject, etc.
(2) Find the email and click “Recall” in its row.
(3) After recalling, check the result in “Email recall records”.
After automatically matching emails via sender or subject information, click “Recall”.

4.Permission and time window:
(1) Recall time window:

  • For standard user accounts: Emails sent within the last 24 hours.
  • For users assigned an advanced email feature, emails sent in the last 15 days can be recalled.

(2) Other notes:

  • This feature is only available for emails sent to Tencent Exmail and QQ Mail recipients, regardless of whether they have been read or not. Recalling emails sent to the mailboxes of other providers (such as NetEase or Gmail) is not supported.
  • Does not support recalling emails sent on behalf of an email group.
  • It only supports recalling emails stored on the server or unread emails in the local Foxmail for Windows app. Does not support recalling read emails that are stored locally in the Foxmail app or local emails in third-party apps.

Ⅱ.How Can A Member’s Mailbox Use the “Recall Member’s Email” Feature?

Members can also recall their own sent emails.
1. Path:
To recall from the “Sent” folder:

  • In the WeCom for PC app, go to [Email] and open the [Sent] folder, locate the target email, and click “Recall member’s email”.
  • In the Exmail for Web app, locate the corresponding email in the [Sent] folder, and then click “Recall member’s email” on the Details page.

2.Recall time window:

After recalling, you can view the recall details in the “Sent” section, and the system will also send an email notification to inform you of the recall result.

Other notes:

  • This feature is only available for emails sent to Tencent Exmail and QQ Mail recipients, regardless of whether they have been read or not. Recalling emails sent to the mailboxes of other providers (such as NetEase or Gmail) is not supported.
  • It only supports recalling emails stored on the server or unread emails in the local Foxmail for Windows app. Does not support recalling read emails that are stored locally in the Foxmail app or local emails in third-party apps.
  • The WeCom for Mobile app also supports recalling an email from the inbox within 24 hours, even if the sent email has been moved there.

III.Effects After Successful Recall

Upon successful recall, the recipient will see the following changes:

  • The original email was replaced by a system notification that states: “The email ‘[Subject: XX]’ has been recalled.”
  • The original body text and all attachments will be cleared and cannot be viewed.

IV.FAQs

1.Why might an email recall fail for a message sent to Tencent Exmail or QQ Mail?

Please check the following:
(1) When sending emails from apps like Foxmail or Outlook, if the “Save sent email to server” option is not checked in the web app under [Settings > Sending/receiving settings], the email will not be synced to the server, making it impossible to recall.
(2) If the total number of emails in the Email for Web app is ≥ 500,000, emails sent via a client (SMTP) will not sync to the “Sent” folder in the app and consequently cannot be recalled.
(3) Ordinary members can only recall emails sent within the last 24 hours.
(4) Emails already deleted by the recipient cannot be recalled.
(5) Blind carbon copy (BCC) emails sent via the Foxmail app are not supported for recall.
(6) If the Foxmail app is configured with a server address in the format “mail.domain”, email recall is not supported.
(7) Recall is not supported in third-party apps (except WeCom, QQ Mail app, and Foxmail). In the Exmail for Web app, go to [Self-service query -> Outgoing email query] to perform the recall action.

2.Is recalling BCC emails supported?

It depends on the sending method:

  • Sent from Exmail for Web app: BCC recall is supported.
  • Sent from Foxmail app: BCC recall is not supported.
  • Sent from other third-party apps: BCC recall is only possible if the BCC recipient’s address is correctly encoded in the email’s BCC field. BCC emails without a BCC field (or an empty one) cannot be recalled.

3.After an email is recalled, is it also deleted from email backup or archive?

No. Emails that have already been backed up or archived will not be recalled or deleted.

4.Is it possible to recall an email sent to an email group that has since been deleted by an administrator?

No, it is not supported. If the target email group is deleted by an administrator after the email is sent, recall is no longer possible.

5.After a member is upgraded to an Advanced Feature account, can an administrator recall emails they sent within the last 15 days?

Yes. If the member currently holds an Advanced Feature account, administrators can recall emails they sent within the last 15 days (including before the upgrade), provided the emails meet other recall criteria.
