How to Create WeCom Email Accounts for Members?

I. Administrators manually assign WeCom email accounts to members

1.Prerequisites for assigning WeCom emails to members

(1) The company Admin Console has been associated with the company-owned domain that is currently being activated/effective

2.Manually creating and adding an email

(1) Assigning a WeCom email to a new member

Method 1: To add a new member, administrators can go to the WeCom Admin Console under [Collaboration -> Email -> Email Account -> click Add Email -> Add for New Member]. In the provided form, they can then fill in the member’s name, email address, initial password, and department details in the Contacts.

Note: After adding a member, the Account (the member’s unique identifier within WeCom) is generated by the system based on the email prefix.

The initial password must meet the requirements below:
① It must contain a combination of uppercase letters, lowercase letters, and numbers.
② It must be 8 to 32 characters in length.

Method 2: To bulk import new members, company administrators can go to the WeCom Admin Console, go to [Collaboration -> Email Accounts -> select Import Email]. The downloaded template should be filled with the new member’s name, company email address, initial password, and department information.
Note: After adding a member, the Account (the member’s unique identifier within WeCom) is generated by the system based on the email prefix.

The initial password must meet the requirements below:
① It must contain a combination of uppercase letters, lowercase letters, and numbers.
② It must be 8 to 32 characters in length.

(2) Select existing members from the Contacts to assign WeCom email accounts

① To assign a Exmail account to a single member: In WeCom Admin Console, go to [Collaboration -> Emails -> Email Account -> Add Email -> Select Existing Members from Contacts to Add]
② To bulk assign Exmail accounts to existing members in the Contacts: In the WeCom Admin Console, go to [Collaboration -> Emails -> Email Accounts-> select Import Email]. In the downloaded template, fill in the following information for each member: Member Name, Email Address, Initial Password, and WeCom Account (of the existing member to whom the email will be assigned). You can find a member’s account details under [WeCom -> Contacts].
③ For the “Add email account to member in Contacts” feature, administrators can only select members from the Contacts who have not yet been assigned an email address. If a member already has an email address assigned, the system will display the error message: “This member has already been assigned an email address.”
Tip: If a member has already logged into WeCom, the administrator can assign a WeCom email to that member. Once assigned, the member can start using the email directly within the WeCom app. No initial password setup or separate email activation is required.

3.Activation Process

After the Admin Console of WeCom creates an email account with an initial password, the administrator can click “Notify members to use ‘Copy email information’ to send it to the members to activate the email”. The member then opens the activation link via a web browser, enters their accounts and initial passwords, and completes the WeChat association to activate the email. Finally, they download the WeCom app, log in with WeChat to join the company, and can use the email for sending and receiving emails via the [Mail] feature.

Note: The initial password becomes invalid once the email is activated. If you need to log in to your email on the webpage, you can use the WeCom App to scan the QR code and log in to your WeCom email.

II. Add Members via WeCom Contacts

1.Manual creation of individual accounts via Contacts

Creation Method: After collecting employees’ mobile numbers, administrators can create business email accounts for them in the WeCom Admin Console.
In the WeCom Admin Console, administrators go to [Contacts -> Add/Bulk Import], select the option to add members by mobile number, then enter the following required information for each member: email account, member name, and account (which serves as the member’s unique ID; it is pre-filled with the email prefix by default, but can be replaced with an employee ID or student number). Save the information to successfully create the account.

In the WeCom Admin Console, administrators go to [Contacts -> Invite via WeChat], generate a shareable QR code or invitation link, and distribute this link or QR code through internal channels (e.g., team chat groups). Employees click the link or scan the QR code to join the company, and administrators locate the newly added member accounts in the [Contacts] of the WeCom Console and fill in their mobile number details.

Note: Administrators can configure review permissions and conduct approvals as needed.

III. Members Requesting to Activate WeCom Email

1.Member Request Entry and Process

If the enterprise has activated WeCom, but a member has not been assigned a WeCom email and has not associated with another work email, they can request as follows:
(1) Request entry: Log in to the WeCom app and enter the [Email] app.
(2) Request operation: Click the “No mailbox, request to use” button to submit an activation request to the company administrator.

(3) Administrator handling: After the enterprise creator or super administrator receives the request, they can choose one of the following operations:
Activate a new email for the member: Directly assign WeCom emails to them. Migrate the original email: Migrate the third-party email currently in use to the WeCom email.

2.Administrator Viewing and Managing Requests

Administrators can view and process email activation requests submitted by members in the Admin Console.

  • Viewing path:Log in to WeCom Admin Console, go to [Collaboration -> Email -> Overview -> Member Requests] module to view the “Pending Email Requests” list.

Tips: If the enterprise has associated a customization domain, the [Member Requests] entry will not be displayed in the Admin Console. Administrators can click “Learn More” in the member request notification pushed by the [Email] system in the WeCom app to enter and view the request list.

1.How to log in to the WeCom email on the webpage?

Employees log in to their WeCom account on the WeCom App and open: https://exmail.qq.com/login. Then, select “Scan Code with WeCom” to log in to the WeCom email.
