How to Set a Group Template for Contacting Students

I. Introduction to group templates

Group templates allow members to quickly configure group settings by utilizing pre-configured templates for group names, welcome messages, and automatic replies.

II. Creating a group template

1.From the admin console, a super admin can create a group template by clicking “Students and Partners” -> “Contact Students” -> “Chat Tools” -> “Group Template” -> “Settings”.


2.From the WeCom app, a super admin can create a group template by tapping “Workspace” -> “Student Group” -> “Group Template” -> “Configure Company Group Template”.

III. Group template options

Options including Set Group Name and Group No., Block Group Members from Modifying Group Name, Enable Customer Service Assistant, Set Group Admin, Set Welcome Messages for New Members, Enable Auto Reply, and Set Anti-Harassment Rules, confirmation for new members can be set.

Note:
1. Checking the configuration for welcome messages in the group template will simultaneously activate the “Set time for not sending welcome messages” and “When a trainee joins, the welcome message will be sent every xx minutes” in the welcome message sending rules.
If a welcome message is configured and its content is later updated, the corresponding welcome message for joining the group in the configured group chat will also be updated.
2. Starting from version 4.0.12, a customer service assistant entry has been added to group templates. It can be enabled in multiple student groups at once by setting “Student group - Group template”. Checking [Enable Customer Service Assistant] allows selection of an existing customer service account or creation of a new one. If the settings of the selected customer service account are later updated, the corresponding account in the configured group template will also be updated synchronously.
3. Checking [Configure Anti-harassment rules] allows selection of existing rules. If the content of a selected rule is updated later, the rule will automatically synchronize for groups where it was previously configured via the template, without the need to reset them.

IV. Setting a group template to student groups

1. Configuration Path

(1)To set a group template for an existing student group
From the WeCom app, tap “Workspace” -> “Student Group” -> “Group Template” -> “My Group Template” -> “Group Template Details” -> “Use This Template”.

(2)To set a student template for an automatically created group, an admin clicks “Set New Group Name, Group Admin, Etc.” in “Join Group “ Settings to set a group template when scanning group QR code is used for new customers to join the group. After that, the group template will be used in the automatically created group.

(3) Enterprises can directly configure the “Group Template” for members’ trainee groups, with up to 2,000 trainee groups selectable per action. You can select all optional trainee groups.
The sorting method defaults to sorting by group owner, and supports filtering by department, group owner, and group name. The sorting method can be changed (by creation time, group name, group owner, and number of group members). You can you the “Select All” button to select up to 2,000 groups at once.

Enterprise super administrators and business owners can configure group templates for trainee groups uniformly. When configured, a notification will be sent to the customer group owner in “Message - trainee Group” stating that “the administrator has configured your trainee group using the group template ‘XXX’”.

2. Maximum Quantity Limit

(1) The total number of group templates added under the same identity is calculated independently:
① The total limit of group templates created by all super administrators in an enterprise is 1,000;
② The total limit of group templates created by all owners for a management rule is 1,000;
③ The total limit of individual level group templates created by a member is 1,000.

(2) Starting from version 4.1.36, members can click on the created group template to support batch configuration up to 2,000 the most recent active group chats, uniformly modify group chat info, or choose to configure individual group chats. When configuring group templates for group chats, the list does not deduplicate already configured group chats. For group chats beyond the 2,000 limit, you must find the respective corresponding group settings.
Note: Active time includes creation time and message sending time.

If the group template contains a group welcome message, the configuration will fail to save when exceeding 2,000 groups, as the group welcome message can only be configured to up to 2,000 trainee groups where a specific member is the group owner. You can manually deselect group chat and reconfigure.

If the group template does not have a group welcome message, a group template can only be configured for up to 2,000 trainee groups.

(3) It allows to create multiple group templates, but a group chat can only be configured with one group template at the same time. If different group templates are configured multiple times for the same group chat, the last configured group template will take effect.

V. Group Welcome Message

Members can manage their welcome messages for new members and apply them to student groups in batch.

1.This asset library is edited by super admins and persons in charge and can be used by users within the applicable scope after it is saved.

2.Welcome message asset library for members
(1) Path: “Workspace” -> “Student Group” -> “Welcome Messages for New Members”
(2) All members can create their own welcome messages in “My Welcome Messages for New Members”, but can only use these welcome messages by themselves.
(3) Members can view both their own welcome messages and welcome messages created by admins/persons in charge in “My Group Welcome Messages”.
(4) Members can apply a welcome message to at most 100 student groups in the “Select student group” page.
