Approval requests can be submitted by employees on behalf of others, and colleagues can ask for leave or reimbursement on behalf of others if necessary.
Admins can decide whether to allow submission on behalf of others for each template in template rule settings.
After the function is enabled, employees can select others from Contacts as an applicant when submitting an approval form on the WeCom app.
When enabled “Allow someone to submit requests on behalf of others” in the overtime approval template, members can initiate overtime request in bulks on behalf of multiple members at the same time. Up to 30 members can be selected for submission at a time. (Only members with the same attendance policy can request for)
Note: Application submission on behalf of others is not supported for the template for correction of missed punch, third-party templates installed, and internal business templates (such as red packet reimbursement, meeting room, and refund approval templates).
In the Admin Console: Go to “App Management” -> “Approvals”, select a template to enter its details page, click “Rule Settings”, and enable “Allow application submission on behalf of others”.
In the WeCom app: Go to “Workspace” -> “Approvals” -> “Management” -> “Document Template Management”, select a template to enter its details page, tap “Edit” -> “Rules”, and enable “Allow to Submit for Others”.
The member who has submitted an approval form on behalf of others can view the submission records in “Submitted” with the approval title of “XX submitted on behalf of XX”, as shown below.
The original applicant will receive a notification: “XX submitted a XX application on your behalf” and can view the member who submitted the application in “Submitted”, as shown below.
Anyone who has the permission to view this approval form can see the notification “The application was submitted by XX” when opening the approval details. This notification also appears when approval details are accessed in the Admin Console.
Notes:
1. Submitting on behalf of others is subject to the visibility permissions in the Contacts. For example, if A has no permission to view B, A cannot submit an application on behalf of B.
2. Only one applicant can be selected, and the approval form corresponds to only that one applicant.
Note: After enabling “Allow someone to submit requests on behalf of others” in the overtime approval template, it supports submission on behalf of up to 30 members at a time. This feature is not supported in other approval templates.
3. Once “Allow application submission on behalf of others” is selected, the “Submission Method” option will appear in the newly exported approval records.
4. For approval forms submitted on behalf of others, if it is approved, a notification will be sent to the original applicant instead of the one who submitted it. For example, if A submits an approval form on behalf of B, only member B will be notified upon approval.
5. When the applicant on an approval form is changed, if the newly selected applicant is not within the visibility range of the approval template, a prompt will appear stating “The selected member has no permission to submit this application”.
