I.How to Enable POP/IMAP/SMTP Services for Tencent Exmail

To ensure the security of users’ emails, Tencent Exmail provides switches to enable or disable POP/SMTP/IMAP services.

1.Enable the member’s email POP/IMAP/SMTP service in the administrator console

Log in to the WeCom Admin Console and go to [Collaboration -> Emails -> Security Management -> App Access Permissions], and then enable or change the POP/SMTP service range or the IMAP/SMTP service range for members’ emails.
Note: If the IMAP/SMTP or POP/SMTP service range is not configured in the Admin Console, members will be unable to enable the corresponding IMAP/SMTP or POP/SMTP services for their emails.

2.How members enable POP/IMAP/SMTP services

Log in to Exmail on the webpage on a PC, and go to [Settings -> Sending/Receiving Settings -> Enable Service] to turn on the service.

II.Settings for Common Email Client Software

You can use client software that supports POP3/IMAP (such as Foxmail, Outlook, and other email apps on PCs or mobiles) to send and receive your emails.
Please configure your email client accurately to use Tencent Exmail via the client.

1.General configuration parameters

① POP3/SMTP protocol
Incoming mail server: pop.exmail.qq.com, use SSL, port No. 995
Outgoing mail server: smtp.exmail.qq.com, use SSL, port No. 465

② IMAP/SMTP protocol
Incoming mail server: imap.exmail.qq.com, use SSL, port No. 993
Outgoing mail server: smtp.exmail.qq.com, use SSL, port No. 465

Email address: full Exmail address
Password: Exmail password; If the email has enabled secure login, you need to log in to Exmail on the webpage to obtain the client-side authorization code in [Settings -> Email Associating].
Additionally, log in to Exmail on the webpage, and go to [Settings -> Sending/Receiving Settings] to enable the POP3/IMAP Client Service Agreement.

③ Exchange protocol
Server: ex.exmail.qq.com, use SSL, port No. 443

2.ITAI configuration parameters

POP3/SMTP protocol
Incoming mail server: xcpop.exmail.qq.com, use SSL, port No. 995
Outgoing mail server: xcsmtp.exmail.qq.com, use SSL, port No. 465

IMAP/SMTP protocol
Incoming mail server: xcimap.exmail.qq.com, use SSL, port No. 993
Outgoing mail server: xcsmtp.exmail.qq.com, use SSL, port No. 465

Email address: full Exmail address
Password: Exmail password; If the email has enabled secure login, you need to log in to Exmail on the webpage to obtain the client-side authorization code in [Settings -> Email Associating].
Additionally, the client service protocol must be enabled in the business email’s web app at [Settings -> Sending/Receiving Settings].

Tip: After the company enables the ITAI email, the client does not support configuring the Exchange protocol.

III.FAQs

1.The client prompts “Wrong password” when configuring WeCom email. Why?

Log in to the business email for the web app, go to [Settings -> Email Associating] to check if Security Login is enabled. If enabled, you need to generate an app-specific password and enter it in the Password field of the third-party app.

2.Why is the client service protocol option unavailable in the “Sending/Receiving Settings” when logging in to email on the webpage?

Please contact the company’s email administrator and have them verify in the Admin Console whether the client service scope includes that member.

3.What is the difference between IMAP and POP protocols?

The POP protocol allows email apps to download emails from the server, but actions performed in the email app (such as moving emails, marking emails as read, etc.) will not synchronized back to the server.
The IMAP protocol allows all actions on the email app to be fed back to the server. Namely, actions performed on emails in the app (such as moving emails, marking emails as read, deleting emails, etc.) will also be applied correspondingly to the emails on the server.

4.After configuring IMAP/POP/Exchange protocols, the app only fetches emails from the last 30 days / does not fetch all emails.

Log in to Exmail on the webpage, go to [Settings > Sending/Receiving Settings], and verify that the mail retrieval scope is set to “All”. If not, please change it to “All”, save the settings, restart your email app, and then try again.

5.Why can’t emails from custom folders on the web app sync after configuring the IMAP protocol on the email app?

Log in to Exmail on the webpage, go to [Settings -> Sending/Receiving Settings] and verify if the “Sync to My Folder” option is checked or the “Folder Locking Area” setting is configured. If a folder is locked, you will need to unlock it before retrying. For specific steps, refer to: How to lock or unlock “Mailbox Folders” in WeCom email

6.Is it necessary to add “hw” to the server addresses when setting up Tencent WeCom Email in an email client from outside the Chinese Mainland?

No, it is not necessary. You can use the official general server addresses for parameter configuration.

7.Why are emails sent from Foxmail or Outlook not appearing in the web app’s [Sent] folder?

To resolve the issue where emails sent via SMTP from apps (e.g., Foxmail, Outlook) are not saved to the “Sent” folder in Exmail on the webpage, please follow these steps:
(1) Check the [Sending/Receiving Settings] in the web app.
Log in to Exmail on webpage, go to [Settings -> Sending/Receiving Settings (App Settings)], and confirm that the “Save the sent emails to server” option is checked. If it was not checked, emails sent from the App will not be synchronized to the web App. When checked, newly sent emails from the App will be synced to the web App’s [Sent]folder.

(2) Check if the total number of emails has reached the limit.
If you have checked the “Save the sent emails to server” option but synchronization still fails, please check if the total number of emails on the web app has reached or exceeded 500,000 messages (inclusive).
Log in to Exmail on the webpage, and ensure the interface is set to Standard Mode (which can be confirmed in [Settings -> General]). Then go to [Settings -> Folders and Tags], or locate the [Email Cleaning Assistant] at the bottom of the homepage to view the current total email count.
If the number of emails is ≥ 500,000, emails sent from the app will not sync to the [Sent] folder in the web app. It is recommended to first back up important emails locally and then clean some emails to free up space.
Note: After cleaning up emails, newly sent emails from the app will sync normally to the web app. However, emails that were sent from the app before the cleanup will not be automatically synced.
