Detailed Explanation of the "Delete Member's Received Emails" Feature

I.Feature Description

Note: Delete Members’ Received Emails is an advanced feature, which allows admins to search for and delete emails in the domain.
1.This feature is an advanced privilege. It is only available to companies that have purchased 5 or more “Advanced Email Features” accounts.
2.Company’s creators/super administrators can use the “Delete Member’s Received Emails” feature to search for and delete specific received emails of members within the company domain from the last 15 days.
3.Once deleted, the email content cannot be recovered.

II.Path and Steps

1.Path

The creators/super administrators can log in to WeCom and navigate to [Admin Console -> Collaboration -> Email -> Security and Management -> Delete Member’s Received Emails]

2.Steps

(1) Locate the target email precisely by entering information, such as the sender, the complete email subject, and the time.
(2) Scan the QR code to verify the administrator’s identity.
(3) After confirming that the information is correct, perform the deletion operation.

3.View email deletion history

The administrators can click the “Email Deletion History” page to query the deletion history of the past 6 months using filters, such as sender, subject, and time.

III.Email Content Display on Member Side After Deletion

In the member’s mailbox, the content of the corresponding email will be replaced with a system notification: “This email has been deleted by your business email administrator”.

IV.FAQs

1.Unable to find the emails to delete using “Delete Member’s Received Emails” in the Admin Console?

(1) Confirm that the emails you want to delete were sent to the member’s mailbox within the last 15 days. Currently, the Admin Console only supports searching for and deleting emails sent to domain members’ mailboxes within the past 15 days.
(2) Confirm whether the emails you want to delete are system notification emails. The “Delete Member’s Received Emails” feature currently does not support searching for or deleting system-generated emails.
(3) Confirm whether the recipient of the email that you want to delete is a public mailbox. Currently, you cannot delete emails received in the public mailbox. It is recommended to log in to the public mailbox to manually delete the emails.
(4) Confirm that the email subject you entered is complete. It is recommended to copy the complete subject from [Collaboration -> Email -> Operation Log -> Receiving/Sending Records] for searching.
(5) Confirm if there are spaces before or after the subject you entered. If the actual received email subject has trailing spaces, you need to include those spaces when entering the subject.
(6) Confirm whether the email subject you want to delete is empty. Deletion of emails with empty subjects is currently not supported.
