I.How to Back Up a Terminating Member’s Emails

1.Operation entry: In the Admin Console, go to [Collaboration -> Email -> Management -> Email recycle bin].

2.Operation process:
(1) The creator or super administrator logs in to the Admin Console.
(2) On the [Email recycle bin] page, click the “Recycle email”. This will recycle the email account of the terminated employee.
(3) The recycled email will enter the “Email recycle bin”.
(4) Within the “Email recycle bin”, you can back up its email data to another member’s email within the same company.

3.Important:
(1) Backup scope: The “Email recycle bin” only backs up the email data of Exmail. It does not include WeCom data, such as chat history. If you did not perform a backup but clicked “Delete Permanently” in the Recycle bin, all email data will be completely cleared and cannot be recovered. Please proceed with caution.
(2) Operation time limit: Recycled emails are retained in the “Email recycle bin” for 60 days. You must complete all necessary operations, such as email backup, data reassignment, or conversion to a public mailbox, within this validity period. These operations cannot be performed after the expiration date.
(3) Advanced feature quota release: If an email account is completely deleted from both the Contacts and the Recycle bin, the advanced feature quota occupied by that account will be released.

1.How to reassign an email from the “Email recycle bin”?

For email accounts in the “Email recycle bin” that are not expired, you can operate through the following path within the validity period:

  • Path: In the company’s Admin Console, go to [Collaboration -> Email -> Management -> Email recycle bin].
  • Operation methods: It can be reassigned to an existing member in the Contacts or converted to a public mailbox for use.
    After successful reassignment, the new member can view the email data from the original email.
